Booking cars for your company Christmas party
The venue is booked, the menu is chosen and someone has asked, “How are we getting home?” That is usually when the transport list starts to grow.
A little planning makes it easier. Here is what to think about when arranging cars for colleagues, clients or a small team heading out together.

Start with who is going where
Before choosing a car, write down the passengers and their collection points. A group leaving the office together is a different booking from guests coming from home, a hotel and the station.
Work out the journey home at the same time. People who share a car on the way to dinner may need different destinations afterwards. Give us the full route for each vehicle so we can confirm the arrangements and price.
A V-Class or separate cars?
A Mercedes-Benz V-Class is worth considering when colleagues want to travel together. Tell us how many people are travelling and whether they will have overnight bags, gifts or other items with them. Check the passenger and luggage limits for the vehicle you select.
Separate cars can make more sense for clients leaving at different times or guests staying at different hotels. You can compare the chauffeur fleet before deciding. We can help you work through the passenger list if the arrangements are less straightforward.

Decide how the return will work
A booked return collection suits an evening with a known finishing time. Agree where everyone will meet and give the group that location before the party starts. “Outside the venue” can be unclear when a hotel has several entrances.
If you need the chauffeur to stay available between stops, look at hourly hire. Waiting counts within the booked hours. A separate return transfer does not keep a car on standby throughout the evening.
If dinner runs late or guests want another stop, contact the booking team before changing the plan. Revised times, extra stops and any additional charges need to be agreed.
Give each car a clear plan
For several cars following the same route at the same time, the booking form has a multiple-vehicle option. Check who is travelling in each car before confirming.
For different collections or staggered returns, send us one complete itinerary. A simple list with a time, address and passengers for each vehicle is more useful than several separate messages. Nominate one person to approve any changes.
Office, hotel or country-house venue?
We arrange company travel across London, Hertfordshire, Bedfordshire and Buckinghamshire. That might mean taking a team from St Albans into London for dinner, collecting clients from a hotel, or arranging the return from a country-house venue.
For a London restaurant, ask the venue which entrance to use and whether there are collection restrictions. For a hotel or estate, send the reception or event entrance rather than just the postcode. If guests are staying overnight, include their hotel details in the return plan.
What to send us
- The party date, venue and required arrival time.
- Collection addresses and passenger numbers for each car.
- The return times and destinations, including any planned stops.
- Vehicle preferences, bags and any access requirements.
- The organiser's contact details.
You do not need every detail settled before getting in touch. Start with the date and what you know, then confirm the final itinerary, vehicle availability and booking terms before payment.
